Join us on Sunday 3rd March at 10am and dress up as your hero for Hero Run 2024! Join our mascot Saunders for the 2km family fun run, or race 5km or 10km to support St Helena Hospice.

Your hero could be anyone, whether that’s a superhero, sports icon, a family member, a doctor or nurse... after all, not all heroes wear capes! All ages are welcome and the event will be chip timed so you can look to beat your personal best.

Your participation means more local people can access the St Helena services they need to make their own choices and live with dignity, regardless of diagnosis or personal circumstances.

The event will take place on the cycle track at Colchester Sports Park and participants of all ages are able to participate. There will also be a cheer zone on the border of the track where you can cheer on our hero runners.

Terms and conditions

General
a. These booking terms and conditions apply to everyone who takes part in St Helena Hospice Hero Run 2024 and those who attend as spectators.

b. These terms and conditions contain important information regarding participation and upon entry you agree to, and accept these terms and conditions.

c. Places are limited in the Hero Run event and entries are processed in the order we receive them. The closing date for entries is Wednesday 28th February 2024 at Midnight. All participants wishing to take part after this time will need to sign up and pay on the day of the event.

d. Anyone under the age of 18 confirms that they have sought parent/guardian consent to take part in the event.

e. Anyone under 16 years must be accompanied to the event by a responsible adult.

f. Anyone aged 4-15 years can only take part in the run with permission from a parent/guardian, for which at point of registration a parent/guardian should declare if they will be running alongside the child(ren). All participants taking part in the Hero Run do so at their own risk. In no event shall St Helena Hospice be liable for any injuries, loss or damages whatsoever, including indirect, punitive, special, incidental or consequential losses connected with any aspect of this event.

g. All participants are responsible for their own medical condition/s. Should you have a medical condition or if you are in any doubt about your ability to participate and finish the Hero Run, we advise you to seek medical advice from a general practitioner prior to the event.

h. Photographs and videos will be taken of participants throughout the event, these will be used on promotional materials to publicise the event and the work of the charity generally. It is the participant’s responsibility to let staff know at registration if you do not want to appear in any such materials.

i. No dogs are permitted within Colchester Sports Park where the Hero Run takes place, therefore please ask any spectators supporting you at the event to leave them at home. Anyone arriving at the event with dogs will be asked to leave the premises.
Booking process, prices and payment
a. The entry fee is non-refundable and non-transferable.

b. Participants are charged the following:

2km family fun run - £5 per child (adults run free but must confirm they are running at sign up)
5km - £10 per runner
5km (no fundraising) - £25 per runner
10km - £15 per runner
10km (no fundraising) - £33 per runner 

c. Prices on the day are per person and no family rate will be available to cover registration and sponsorship:

2km -  £15 per child
5km - £25 per runner
10km - £33 per runner

d. The Hero Run event is a St Helena Hospice event to raise money for St Helena Hospice. We ask that all sponsorship raised is for St Helena Hospice, please do not raise money for other charities, trusts or funds.

e. Any carer taking part is able to accompany a participant free of charge. It is recommended anyone in support of a carer runs with a carer at all times.

f. Minimum sponsorship is suggested at £50 per person.

g. All funds raised from taking part in this event, including sponsorship will be allocated to general hospice funds to cover all hospice services.

h. Medals are subject to availability and cannot be guaranteed for people registering on the day.
Clothing
a. Due to the theme of the Hero Run, all participants are encouraged to dress up in their ‘Hero’. St Helena Hospice is not responsible for supplying costumes or outfits to participants, nor for any damage, wear or tear to such items.

b. It is not compulsory to wear such costumes or outfits to take part in the Hero Run.

c. There will be no changing or bag drop facilities at the event, other than public toilets, therefore items brought along are done so at your own risk.
Changes to the event
a. St Helena Hospice cannot be held liable for any changes made to the event for safety reasons, or as otherwise planned through circumstances beyond their control. Nor can they accept any liability for any changes made to the venue or date of the event.

b. St Helena Hospice reserves the right to alter the start time of the event at any time.
Cancellation
a. St Helena Hospice reserves the right to cancel this event at any time. In the event of this happening, entry fees and sponsorship will be refunded in full.
Data protection
a. The information you provide at registration will be shared only with St Helena Hospice; it will not be passed onto any other organisation.

b. By taking part in the Hero Fun Run event you consent to St Helena Hospice contacting you via telephone, letter or email for any matter relating to your participation in this event.

c. Your name and email address will only be shared with Colchester Sports Park to support ‘My Laps’ (chip timing). If you do not wish for this to occur, please let us know and there will be no requirement to have your participation timed.

c. As lead participant, it is your responsibility to ensure all other participants have read and understood the terms and conditions. If you are signing up as a family or group and signing up on behalf of other adults, as the lead participant, by agreeing to the terms and conditions on behalf of all participants and are confirming you have their consent to share their personal details with us.

d. If you are a ‘lead participant’, signing up yourself and your family or a group, it is your responsibility to ensure you have the consent of each family/group member to provide their details (name, email address, phone, postal address and emergency contact details).

e. We require the postal and email addresses of each participant so we can send them important information about the event. By providing this information, they are not opting into any email marketing, they will only be sent information about this event.
Disclaimer
a. All participants taking part in Hero Run event do so at their own risk. In no event shall St Helena Hospice or Colchester Sports Park be liable for any injuries, loss or damages whatsoever.

b. Children aged 4 years and above can take part and careful consideration should be given for children running unaccompanied during the 2k and 5k distances. All children under the age of 16 must be accompanied to the event and supervised at all times by a responsible adult or carer.
Conditions of entry
I have read and agree to the terms and conditions above. I/the group understand that I/we take part in this event at my/our own risk and that St Helena Hospice will not be liable for any injury or loss that may occur as a result of my/our participation. I confirm that I am/we are over 18 years of age and that my/our parent/guardian has advised St Helena if I am/we are not. I agree that medical advice should be sought from a General Practitioner if I am/we are in any doubt as to my/our physical ability to participate in the event. I am/we are aware that photographs and videos taken

during the event may be used to publicise the event and the work of the charity generally and give permission for this.

How much sponsorship money do I have to raise?
A sponsorship target of £50 per person is suggested. When forming teams, the sponsorship target can be reflected to achieve this. For example, two siblings running together would have a combined total of £100 fundraising target.
What is the 'Hero Run' event?
A - The Hero Run is a family-friendly running event consisting of three distances – Family 2k, 5k and 10k. The event will take place on the cycle track at Colchester Sports Park and participants of all ages are able to participate.
What distance can I run?
Adults (16yrs+) can choose between the 5k and 10k distances.

Children aged 7-15yrs can choose the 5k and /or 2k Family Fun Run.

Children (4-15yrs) can take part in the Family 2k with accompanying adult*

*As per parkrun, children aged 4+ can participate and is the adults discretion as to the child running solo. We recommend an adult accompanying children where possible, and an adult can accompany 2 children free of charge.
How much is it to register?
· Family 2k - £5 per child (adults run free but must confirm they are running at sign up)

· 5k - £10 per runner

· 10k - £15 per runner
What time does it start?
9.15am = Registration opens for all participants with focus on Family 2k registering first

10am = Family 2k starts

10.45am = 5k + 10k distances start

9.15am onwards – Event Village open with stalls, food & much more
Can I pay on the day?
Yes – Prices are £25 per person to cover registration and sponsorship (4yrs and over).
Are refreshments available on the day?
Yes – the café within the sports park has hot drinks available and refreshments. However, our own internal Catering Team will be providing food such as bacon and sausage baps, sausage rolls and all proceeds will go towards St Helena Hospice.
Are the routes suitable for wheelchairs and pushchairs?
Yes, the facility is accessible for both pushchairs and wheelchair users.
Are toilets open and available on the day?
Yes – toilets are available in the sports park and portaloo’s will be available.
Can I bring my dog?
Unfortunately, you cannot bring your dog to this event.
Can my school take part?
Of course. We are encouraging schools to attend and we have designated ‘cheer zones’ around the 1km lap so would be great to have schools involved cheering their pupils on.
Do I have to dress up?
It is not obligatory to dress up, however many runners in particular the children will dress up as their favourite ‘Hero’. This will create an atmosphere and we encourage adults to do the same.
Is it superhero themed like last year?
No, our title change in ‘Hero Run’ is to emphasise not all heroes wear capes and so leaves it one to dressing up as YOUR hero. It could be a sports hero, policeman or doctor or yes of course your superhero favourites such as superman, wonder woman or batman. The option is yours.
Is the course UK Affiliated and chip timed?
The emphasis on this event is a ‘FUN RUN’ and encourages all ages/abilities. The course is measured by Colchester Sports Park the track is cornered off to measure 1km laps.

We will be utilising ‘My Laps’ provided by the sports park team to record participants times, so yes everyone will receive a finish time.
Is there a course map?
No – the cycle track will be clearly marked as 1km laps and so the following distances will apply:

· Family 2k – 2 laps

· 5k – 5 laps

· 10k – 10 laps
Will I receive a medal?
Yes, all those ‘registered’ as a runner will receive a medal.
